Job Description

A prestigious private estate in the San Francisco Bay Area is seeking an experienced Assistant Facilities Manager to support the day-to-day operation, maintenance, and upkeep of a high-end residential property.

Working alongside the Facilities and Residences management team, the Assistant Facilities Manager will help ensure that the estate, its systems, equipment, and service providers operate efficiently and consistently to exceptional standards.

This is a hands-on and highly trusted position suited to an experienced property or facilities professional who combines strong technical knowledge with excellent organization, initiative, and discretion. The successful candidate will be comfortable working across multiple areas of the property, identifying potential issues before they become problems, coordinating specialist contractors, and ensuring that all maintenance and project work is completed properly.

The role is particularly suited to someone who takes genuine pride in the condition and presentation of a private residence and understands the high level of service expected within a UHNW household.

Responsibilities

Carry out regular inspections of the estate, identifying maintenance requirements, defects, safety concerns, and potential issues before they escalate
Assist with the upkeep and operation of residential systems, including HVAC, electrical, plumbing, lighting, AV and network infrastructure, pools and spas, and other specialized equipment
Maintain accurate records of preventative maintenance, inspections, warranties, service contracts, work orders, and outstanding repairs
Schedule, coordinate, and oversee external contractors, tradespeople, technicians, and specialist vendors
Monitor the quality, timing, and completion of maintenance work, ensuring contractors meet the required standards
Assist with property improvements, installations, renovations, repairs, and other capital projects
Track project progress, outstanding works, follow-ups, and punch-list items through to completion
Prepare the property for the arrival of the Principal, family members, and guests, ensuring all relevant systems and amenities are functioning correctly
Maintain organized inventories of maintenance supplies, tools, equipment, and spare parts
Assist in responding to urgent maintenance or facilities issues and coordinate the appropriate response when immediate action is required
Support Facilities and Residences management with special projects, inspections, research, and other operational requirements
Work collaboratively with housekeeping, security, landscaping, and other household departments to maintain seamless estate operations
Help maintain accurate property documentation, service histories, technical information, and contractor records
Take ownership of assigned tasks and follow them through to completion with minimal supervision
Handle all information relating to the Principal, family, residence, and household with absolute confidentiality

Job Requirements

The ideal candidate will bring several years of relevant experience within a private estate, luxury residence, high-end property, luxury hospitality, or comparable facilities environment.

You should be technically capable, practical, and confident dealing with both routine maintenance and unexpected property issues. Equally important is the ability to work discreetly within a private household and understand that service standards, presentation, reliability, and judgment are essential.

The successful candidate will demonstrate:

Previous experience in luxury residential facilities, private estates, high-end property management, luxury hospitality, or a similar setting
Strong understanding of residential building systems and general facilities maintenance
Excellent practical and technical troubleshooting abilities
A proactive approach, with the ability to anticipate maintenance requirements rather than simply react to them
Strong organizational skills and meticulous attention to detail
Confidence coordinating and managing contractors, vendors, and specialist service providers
The ability to manage multiple priorities while maintaining high standards
A calm and resourceful approach to unexpected problems and urgent situations
Excellent communication skills and sound professional judgment
The ability to determine when an issue can be resolved independently and when it should be escalated
A strong sense of ownership, accountability, and pride in the property
Exceptional discretion and respect for privacy
An understanding of the standards and expectations associated with supporting a UHNW Principal and private household

Working Conditions

Location: San Francisco Bay Area, California
Position: Full-time, on-site

Schedule: Flexibility required according to the operational needs of the estate and Principal
Occasional evenings, weekends, and on-call availability may be required for urgent facilities matters
Close collaboration with Facilities/Residences management and the wider household team

Salary

$150,000 per year
