A private UHNW principal based in Palo Alto is seeking a highly accomplished Executive Personal Assistant / House Manager to step into a pivotal, long-term role supporting her personal, professional, and lifestyle needs. This position is offered as a succession hire, replacing a trusted professional of many years, and is designed for a candidate seeking stability, trust, and longevity in a high-caliber private environment.

This is a Personal Assistant–driven role, requiring exceptional executive-level support skills. The successful candidate will be someone who listens carefully, processes information quickly, converts verbal direction into structured plans, and executes independently with precision. The role calls for excellent judgment, strong anticipation skills, and absolute discretion at all times.

Household oversight is handled strictly in service of the principal’s priorities. Rather than functioning as a traditional house manager, the role focuses on ensuring that the principal’s time, surroundings, and daily life operate seamlessly, efficiently, and without interruption.

Responsibilities

Executive & Personal Assistant Functions

  • Serve as the principal’s primary point of support across all personal and executive matters.
  • Capture verbal instructions and real-time directives, translate them into clear action plans, and manage execution independently.
  • Anticipate future needs, identify potential challenges, and resolve issues proactively before they arise.
  • Manage scheduling, appointments, and travel logistics in close coordination with the principal’s professional scheduler.
  • Maintain complete oversight of calendars, priorities, household requirements, and external commitments.
  • Handle personal errands, correspondence, shopping, and bespoke requests with efficiency and discretion.
  • Act as the central communication bridge between the principal and household staff, ensuring clarity and accountability.
  • Maintain strict confidentiality; a California-compliant NDA will be required.

Household & Estate Coordination

(Supporting the PA Function)

  • Ensure household operations align seamlessly with the principal’s lifestyle and professional demands.
  • Coordinate with a long-standing domestic team, including a private chef, domestic couple, and part-time housekeeper.
  • Translate verbal priorities into clear, actionable instructions for staff and external vendors.
  • Oversee vendors, maintenance schedules, and preventative care with minimal disruption.
  • Ensure the residence remains guest-ready and hospitality standards are consistently upheld.
  • Coordinate staffing and logistics for household events as needed.
  • Oversee household payroll administration.

Events & Lifestyle Support

  • Coordinate logistics for regular small gatherings and occasional larger events (20–30 guests).
  • Work closely with the household chef on menu planning, sourcing, and dietary preferences.
  • Ensure family members and visiting guests receive thoughtful, discreet, and well-executed hospitality.

Working Style & Expectations

  • Full-time position, Monday through Friday (approximately 40 hours per week).
  • No standard weekend work; limited flexibility may be required on occasion.
  • The principal works from home frequently and expects a highly present, proactive PA who operates independently and anticipates needs without reminders.

Job Requirements

  • 5–7+ years of experience supporting a UHNW principal in a Personal Assistant, Executive Assistant, or comparable right-hand role.
  • Proven ability to absorb verbal direction, organize complex information, prioritize effectively, and execute autonomously.
  • Highly detail-oriented, anticipatory, and operationally disciplined.
  • Polished, calm, emotionally intelligent, and confident in high-expectation private environments.
  • Excellent written and verbal communication skills with strong discretion.
  • Technologically proficient and comfortable managing complex systems and workflows.
  • Valid California driver’s license with a clean driving record; estate vehicle provided for work-related use.
  • Comfortable working in a pet-friendly home (dog, birds, reptile; cat allergy present).
  • Experience supporting personal event preparation is a plus.
  • The household observes a weekly rest period from Friday evening through Saturday evening.
  • Staff retention is a core value, with team members holding tenures ranging from 6 to 35 years.
  • Collaboration, discretion, and respect for established household dynamics are essential.

 

Working Conditions

  • Health allowance: $400 per month

Salary

$140,000–$150,000 (DOE)
