Job Description

A private family office based in Dallas, Texas is seeking a highly experienced and professional Senior Personal Assistant to provide direct support to the Principal.

This is a fast-paced and demanding role requiring a candidate who thrives in a dynamic environment and is able to manage multiple priorities with precision and discretion. The successful candidate will play a key role in ensuring the seamless organization of the Principal’s daily life, handling both personal and administrative responsibilities with efficiency and attention to detail.

The position requires a service-oriented mindset, excellent judgment, and the ability to anticipate needs before they arise. Flexibility is essential, as the role will involve occasional evening and weekend availability to support travel, events, and time-sensitive matters.

Responsibilities

Executive and Personal Support

  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements.
  • Handle daily requests and last-minute tasks with speed, accuracy, and discretion.
  • Coordinate errands, purchase gifts and supplies, and manage local deliveries.
  • Assist with packing, wardrobe preparation, and travel organization.
  • Support private and commercial travel logistics, including coordination with airport services and aircraft preparation.

Coordination and Operations

  • Liaise with household staff, vendors, and external service providers as directed by the Chief of Staff.
  • Support the planning and execution of private events and engagements.
  • Maintain organization of personal belongings, supplies, and important documents.
  • Provide administrative and operational support to the Chief of Staff when required.
  • Ensure clear communication and efficient coordination across multiple properties.

Availability and Execution

  • Participate in a rotation for after-hours and weekend support alongside the Chief of Staff.
  • Respond promptly to urgent requests and evolving priorities.
  • Contribute to the development and maintenance of standard operating procedures (SOPs) to improve efficiency and consistency.
  • Uphold the highest standards of confidentiality, professionalism, and discretion at all times.

Job Requirements

  • Minimum 10–12 years of experience in a high-level personal assistant or similar role.
  • Exceptional organizational skills with strong attention to detail.
  • Structured approach to tasks, with the ability to follow processes and procedures accurately.
  • Proactive mindset with the ability to anticipate needs and act independently.
  • Strong communication skills and ability to interact with a range of stakeholders.
  • Calm, solutions-focused attitude in a fast-moving environment.
  • High level of discretion, judgment, and professionalism.
  • Flexible and available for after-hours and weekend support when required.
  • Valid driver’s license, insurance, and access to a reliable vehicle.

USD 100,000 – 130,000 gross per year, depending on experience and qualifications.
