Log inA prestigious family based in Manhattan, New York, is searching for a highly organized, proactive, and polished Personal Assistant to provide exceptional support for both personal and professional matters. This full-time, long-term position requires a calm and poised individual who thrives under pressure and can seamlessly manage last-minute requests.
As the trusted right hand of the principals, the Personal Assistant will demonstrate impeccable discretion, time management, and grace. The role may involve occasional travel, both domestic and international, to support the family’s needs.
Personal and Lifestyle Management:
Oversee daily schedules, including managing appointments, meetings, and social engagements.
Act as the main point of contact for the principals, ensuring smooth communication with external parties.
Handle confidential personal matters with complete discretion and professionalism.
Travel Coordination:
Organize all aspects of domestic and international travel, including flights, accommodation, and ground transport.
Prepare detailed itineraries, ensuring comfort and efficiency.
Collaborate with the household staff and security to ensure seamless travel arrangements.
Provide in-person or remote assistance during travel as needed.
Household Support:
Work closely with household staff (e.g., housekeepers, chefs, chauffeurs, security) to ensure smooth operations.
Oversee administrative tasks related to household maintenance and ensure follow-ups are handled.
Administrative Duties:
Manage and prioritize daily correspondence, emails, and phone calls.
Assist with personal financial matters, including bill payments and coordination with accountants.
Maintain well-organized records and manage confidential files.
Support the principals with personal projects and various ad-hoc requests.
Event Planning:
Assist with the coordination of private events, family gatherings, and social dinners.
Manage vendor communications, invitations, and logistical arrangements.
Ensure events are executed to the highest standards.
Minimum of 5 years’ experience as a Personal Assistant, Executive Assistant, or in a similar role within high-net-worth (HNW) or ultra-high-net-worth (UHNW) households, family offices, or luxury sectors.
Proven track record with referenceable work history.
Preference for candidates with formal training in administration, hospitality, or executive support.
Exceptional organizational skills and a strong ability to multitask in a fast-paced environment.
Excellent written and verbal communication skills.
Tech-savvy and comfortable using digital tools and smart systems.
Legally authorized to work in the U.S.
Based in the U.S., preferably with prior experience in New York City.
Position: Full-time Personal Assistant
Location: Manhattan, New York
Schedule: Monday to Friday with occasional evening/weekend flexibility
