Job Description

A prominent executive based in San Francisco is seeking a seasoned and highly adaptable Personal Assistant to provide seamless support in both professional and private matters. The position calls for a discreet, trustworthy, and detail-oriented individual who can anticipate needs, manage complex schedules, and handle sensitive information with the utmost confidentiality.

This is a multifaceted role where no two days are alike. The successful candidate will serve as the principal’s right hand—balancing administrative oversight, personal lifestyle management, and occasional financial coordination with poise and efficiency.

Responsibilities

Lifestyle & Household Support

  • Manage and prioritize the principal’s calendar, daily agenda, and personal commitments.

  • Serve as the primary liaison between the principal, household staff, vendors, and service providers.

  • Oversee smooth household operations, ensuring top service and discretion.

 

Travel & Event Management

  • Arrange detailed itineraries for domestic and international travel, including visas, flights, accommodations, and ground transportation.

  • Coordinate private gatherings, social functions, and business events.

  • Handle guest logistics, RSVP lists, and vendor relations for flawless event execution.

 

Administrative & Financial Oversight

  • Draft correspondence, respond to emails, and field calls on behalf of the principal.

  • Maintain precise household budgets, expense reports, and financial records.

  • Collaborate with external advisors—accountants, lawyers, and consultants—when necessary.

  • Oversee contracts, invoices, and vendor accounts.

 

Personal Assistance & Errands

  • Schedule health, wellness, and personal care appointments.

  • Handle luxury purchases, gift sourcing, and bespoke requests.

  • Run personal errands, courier tasks, and make reservations.

  • Provide tailored support for visiting family members and guests.

Job Requirements

  • Minimum 5 years’ experience supporting UHNW families, senior executives, or luxury households.

  • Proven background in high-end hospitality, family offices, or private estates preferred.

  • Excellent multitasking and time-management skills.

  • Strong written and verbal communication abilities.

  • High level of integrity, discretion, and professionalism.

  • Tech-savvy with Microsoft Office Suite and scheduling software.

  • Flexibility for evenings, weekends, and travel.

  • Valid driver’s license; local driving knowledge an asset.

Working Conditions

  • Location: San Francisco, California (live-out role).

  • Contract: Full-time, permanent position.

  • Travel: Domestic and international travel on occasion.

  • Start Date: Immediate or as soon as the right candidate is available.
