Job Description

We are looking for a highly experienced and discreet Personal Assistant to support a private family residing in Luxembourg. The successful candidate will provide comprehensive administrative and logistical assistance, ensuring the smooth management of the principal’s personal and family matters.

The role demands a professional who is committed to confidentiality and discretion in handling all private, social, and household affairs. Based in Luxembourg, this position may require occasional domestic and international travel as part of the family’s travel plans.

The ideal candidate will thrive in a fast-paced, dynamic environment, working closely with a small team to assist in managing the family’s day-to-day activities. The role requires a proactive, versatile, and organized individual, able to manage tasks with efficiency, flexibility, and care. Fluency in both Spanish and French is essential. This is a full-time, permanent position, available immediately.

Responsibilities

  • Maintain and update the principal’s agenda
  • Monitor and coordinate the adolescent’s school schedule
  • Handle bank transfers for signature
  • Schedule a variety of appointments (doctor, hairstylist, car maintenance, etc.)
  • Organize and manage travel arrangements
  • Liaise with and supervise house staff, including possible schedule planning
  • Coordinate clothing management (dry cleaning and follow-up)
  • Plan and organize receptions and one-off events
  • Manage relationships with service providers and suppliers
  • Prepare meals as needed
  • Oversee parcel deliveries and manage deliveries
  • Adapt to ad hoc requests, meeting the family’s daily needs

Job Requirements

  • Minimum of 5 years of experience in a similar role within HNW/UHNW families, family offices, or the 5-star hotel industry
  • Ability to work in a high-end environment, with a focus on high standards, punctuality, discretion, and confidentiality
  • Highly professional, proactive, and solutions-oriented approach
  • Dynamic, attentive, and motivated personality with excellent interpersonal skills
  • Versatile, autonomous, discreet, and trustworthy
  • Excellent organizational and priority management skills
  • Proficiency in MS Office and home management tools
  • Ability to work flexibly, including evenings, weekends, and occasional travel
  • Looking for a stable and long-term collaboration
  • Ability to work effectively within a team and contribute to a positive environment
  • Fluency in French and Spanish is essential

Working Conditions

  • Position to be filled: Immediately
  • Location: Luxembourg
  • Contract Type: Permanent, full-time (40 hours/week)
  • Flexibility: Required, including occasional travel with the employer (both short- and long-term trips)
  • Accommodation: Not provided

Salary

Starting from 3500€ net monthly, plus a mobile phone
