Job Description

A well-established international holding company with operations across the oil shipping and logistics, commodity trading, and oil supply sectors is seeking an accomplished HR & Executive Assistant to join its headquarters in Dubai, UAE.

Supporting three senior partners who oversee an international business with offices in Dubai, France, and Denmark, this is a strategic position requiring exceptional organisational skills, discretion, and the ability to manage multiple priorities within a fast-paced corporate environment.

This role combines executive support, international HR administration, and operational coordination, making it ideal for an experienced professional who thrives in positions of responsibility and enjoys working directly with senior leadership.

The successful candidate will already be based in the UAE and capable of managing confidential matters independently while ensuring the smooth day-to-day operation of a growing international organisation.

Responsibilities

Human Resources Administration

You will be responsible for supporting HR operations across the company’s international workforce by:

  • Managing employment contracts, renewals, amendments, and employee records.
  • Coordinating recruitment activities, including job advertisements, interview scheduling, and onboarding.
  • Maintaining accurate HR documentation across multiple international offices.
  • Monitoring leave requests, HR policies, and personnel administration.
  • Assisting with compliance across different employment jurisdictions.
  • Supporting workforce administration and employee lifecycle management.

Executive & Partner Support

Working closely with the company’s three Dubai-based partners, you will:

  • Manage complex calendars, appointments, and daily schedules.
  • Organise internal meetings, client appointments, conferences, and business events.
  • Coordinate international travel arrangements, including flights, accommodation, visas, transfers, and detailed itineraries.
  • Prepare professional correspondence, contracts, reports, and confidential business documents.
  • Act as the primary liaison between the Dubai headquarters and overseas offices.

Office & Business Operations

You will also contribute to the efficient running of the business by:

  • Overseeing office administration and facility-related matters.
  • Managing relationships with suppliers and external service providers.
  • Monitoring office contracts and rental agreements.
  • Supporting cross-border operational projects involving multiple business entities.
  • Ensuring administrative processes remain organised and efficient.

Job Requirements

The ideal applicant will possess:

  • At least five years’ experience in a senior Executive Assistant, HR, Operations, or Office Management role.
  • Previous exposure to international corporate environments.
  • Experience within law, finance, banking, commodities, or international business is highly advantageous.
  • Knowledge of HR administration across multiple countries is preferred.
  • Outstanding organisational and multitasking abilities.
  • Exceptional attention to detail and accuracy.
  • Excellent written and spoken English.
  • Strong interpersonal and communication skills.
  • High levels of professionalism, integrity, and discretion.
  • Confidence working independently while supporting senior executives.
  • Flexibility to travel internationally when required.
  • Arabic, French, or Danish language skills are advantageous but not essential.
  • Current residence within the UAE is mandatory.

Working Conditions

  • Location: Dubai, UAE (near Mall of the Emirates)
  • Working Hours: Monday to Friday, 9:00 am to 5:00 pm, with flexibility when required
  • Travel: Occasional international business travel
  • Start Date: Immediate
  • Eligibility: Candidates must already be based in the UAE.
